I PGMs (Planning Group Members)

Four French PGMs have been selected one year before the symposium (one per session).

Around 8 months before the symposium, all the PGM meet together and select among the topics that have been suggested at the previous symposium those that will be presented at the next symposium (one per session).

Around 6 months before the symposium, they must propose to the steering committee one speaker for each topic. They have also to propose together with their foreign counterpart one chair per topic (half the Chairs are selected by the French side, the other half is chosen by the partner organization)

At the symposium, they introduce the Chair of the session. At the end of the symposium, they hold a meeting with the PGM foreign counterpart, where they discuss and decide on the topics which will be proposed to the next joint PGMs preparatory meeting.

II Chairs

Two French Chairs are selected before the symposium. (The Taiwanese part also selects two chairs)

Before the symposium they have to :
Draft an abstract of the introductory speech for the session (*1)
Compile a glossary for the designated session (*2)

At the symposium, they introduce the topic of the session, give the floor to the two speakers, and lead the discussion between all participants after the two speeches. They also keep the time of the designated session. (*3)

III Speakers

Four French Speakers are selected before the symposium (one per session).

Before the symposium they have to :
Draft an abstract of the speech (*1)
Compile a glossary for the designated session (*2)

At the symposium :
make a speech during the designated session (*4)

IV General Participants (GPs)

Before the symposium, they are selected after a call for candidacy by the steering committee

At the symposium, they participate to the discussion after the two speeches delivered in each of the eight sessions. Some of them can be proposed to become PGM to replace those who are leaving. They participate to the poster sessions and one-minute flash talks. (*5)

V All Participants (PGMs ; Chairs ; Speakers ; GPs)

• Fill on line the logistical form. The information will be put into the symposium booklet (*8)

• Participate to the general discussion at the end of every session. (*7)

• Are invited to suggest possible topics for the next symposium. (*6)

＝Notes＝

*1 Abstracts

Chairs will draft a session abstract in English. The abstract must be written within two A4 pages and include the session structure and the reasons why the topic is cutting-edge. The abstract must be submitted on line (Note 8) by May 15th in order to be included in the symposium agenda book.

Speakers will draft a speech abstract in English. The abstract must be written within two A4 pages and technical terms should be avoided except when necessary. The abstract must be submitted on line (Note 8) by may 15tht in order to be included in the symposium agenda book.

*2 Glossary 　

Chairs and speakers will compile a glossary of their designated field. The glossary is important because the participants are not familiar with the specific vocabulary used during the talk. It must be written within one to two A4 pages and discussed session by session between the Chair and the two speakers. One glossary per session has to be sent either to the FoS Management Unit

*3 Role of the Chairs

Chairs present overview of the field within 15 to 20 minutes to introduce the audience to the session topic as a "frontier" of science and to place the session talks (generally 20 to 25 minutes each) in perspective with respect to the session topic and each other. (Chairs, therefore, are asked to contact the speakers of their designated session well in advance to coordinate their own introduction and speakers' presentations.) Chairs are also responsible for running the session, for introducing the speakers and keeping them strictly on schedule, and for moderating the discussion at the end of the session. • Two hours have been allotted for each session, including general discussion at the end. Adequate time for participants to ask questions, develop issues, and engage in discussion at the end of the session is absolutely vital. • Forty-five minutes for discussion would be an absolute minimum, Fifty five minutes is recommended.

*4 Role of the Speakers

Speakers are to introduce top young scientists from many fields to the excitement of their own fields in general and their research in particular within 20-25 minutes. Presentation should not be a review of a speaker's field ; rather it should (1) clearly delineate the problem that you are trying to solve, (2) place that problem and your research in the larger context of your field and other fields, and (3) explain its significance. The audience is a group of very bright scientists, and they learn very quickly, but few, if any, will be specialists in your field. To communicate successfully, it is very important to avoid jargon, and where discipline-specific terms cannot be avoided, be sure to define them.

In general, the presentation should be geared to ignite the interest of scientists outside your field, to communicate why the topic of the session is an exciting “frontier” and to provide the specifics necessary to set the stage for the general discussion after your talk or at the end of your session.

*5 Poster session and flash talks

The poster session is also an important issue of the symposium because it is the time when all participants can introduce their work and make the first contacts for future collaboration. When you go to the symposium, you have to carry with you a poster whose size should not exceed 118.8 cm (high) and 84 cm (wide). Before, the title and an abstract in less than 200 words must be included into the logistical form as it is indicated in the form. This form has to be submitted to the FOS Management Unit (address below) by may 1st in order to be included in the symposium agenda book.

The flash talks are given during special sessions : each flash talk must not exceed two minutes. You must provide three slides in PowerPoint format to the FoS unit (sylviane.marais@cnrs-dir.fr).

*6 Proposal of topics for the next symposium

All participants are invited during the symposium to suggest possible topics for the next symposium. The proposals should be on cutting-edge topics.

*7 General recommendations

The objective of FOS symposia is to allow all the participants to listen to the scientific talks and then interact with the other participants in an interdisciplinary discussion. LISTEN and INTERACT are the two key-words of these symposia.

Therefore it is mandatory to all participants :

• To take part in all the 4 sessions, it is necessary for a fruitful symposium.

• To use your laptop during the sessions only for the session purpose. Please watch your emails or prepare your PowerPoint's only during the breaks to concentrate your attention on the talks and on the discussion.

The 15th of March 2006 has been signed an agreement between the Ministry of Foreign and European Affairs, the Ministry of of Higher education and Research, the CNRS for the french part and the Japan Society for the Promotion of Science (JSPS) for the japanese part in order to implement Japanese-French Frontiers of Science symposia (JFFoS).

JFFoS Symposia are taking place every year alternately in France and in Japan. Eighty researchers are participating to 8 sessions of 2 hours each covering 8 scientific fields which usually are :

Les symposiums FAKFoS

Le premier symposium FAKFoS (French American Kavli Frontiers of Science) s'est tenu en 2008 à Roscoff. Il était co-organisé par le Ministère des affaires étrangères et européennes , le Ministère de l'enseignement supérieur et de la recherche (DREIC) et le CNRS pour la partie française, et la fondation Kavli pour la partie américaine. Quatre-vingt chercheurs relevant de huit disciplines différentes (Astronomie, physique, astrophysique, mathématiques- informatique, sciences de la terre- environnement , neurosciences—médecine, sciences sociales, biologie- sciences du vivant, chimie, matériaux–biomateriaux : informatique quantique.

Le Comité prend les décisions sur les questions stratégiques et organisationnelles (nomination du Comité d'organisation scientifique, des présidents de séances, des orateurs et des participants généraux, choix du lieu du symposium, …

La Cellule FoS-FoE

La cellule FoS-FoE a pour objectifs principaux de mutualiser :
la gestion complète et le suivi de tous les programmes « Frontières de la science » (FoS) et « Frontières de l'Ingénierie » (FoE) existants et qui pourraient être créés sur le même principe. Il s'agit essentiellement de la préparation des budgets, de la sélection des candidats, des financements des déplacements ainsi que toute autre action nécessaire à l'organisation de la partie française des symposiums,
la communication interne et externe des programmes de type « FoS » ou « FoE » pour en améliorer la visibilité (site web, base de données).
